RE:                        Academic Affairs Committee Process

 

 

 

Academic Affairs Committee (AAC) Process:

 

1.   First Reading:

      a.         Committee reviews proposals. Meetings are open, but the Committee will not solicit questions or elicit answers from any proposers who may choose to attend.

      b.         Committee members are polled to determine if there are questions about the proposal.

c.         If there are no questions or questions are resolved without the need for additional information from the proposer, the Committee proceeds to a vote.

d.         If there are broader questions regarding academic policies that are separate from the specific proposal under review, a process to address the broader issues is identified. There could be a vote to table the proposal under review until the underlying policy issues are resolved or the Committee could proceed to a vote on the proposal.

e.         If there are unresolved questions about the content of the proposal, there will be a vote to table the proposal and an AAC voting member from the division making the proposal will be responsible for contacting the proposer to request additional documentation to clarify the proposal. A Second Reading of the proposal would be scheduled for two weeks from the date of original review, if the requested additional documentation is received within those two weeks.

 

 

 

 

 

2.   Second Reading:

 

a.         Vote to remove the proposal from the table.

b.         Proceed to a vote on the proposal, as amended, if there are no questions.

c.         Discuss additional questions about the proposal.

d.         Proceed to a vote if Committee member questions have been addressed and differences resolved.

e.         If differences about the proposal remain that could be resolved with additional information from the proposer, there would be a vote to table the proposal and the same AAC voting member who previously contacted the proposer would make a request for additional documentation. A Third Reading of the proposal would be scheduled for two weeks from the date of the Second Reading, if the requested additional documentation is received within those two weeks.

f.          If differences remain that would not be resolved through the receipt of additional information from the proposer, the Committee could either vote to table the proposal in order to address underlying policy issues or could proceed to a vote on the proposal.

 

Note: A proposer could be invited to the Second Reading in cases where the additional documentation does not provide sufficient information. In all cases, the Committee would not render a negative decision about a proposal without providing the proposer with an opportunity to meet with the Committee.

 

3.   Third Reading:

 

a.         Invite the proposer to attend the Third Reading.

b.         Vote to remove the proposal from the table.

     c.         Discuss additional questions about the proposal.

     d.         Proceed to a vote on the proposal.
